Interlibrary Loan (ILL)

Introduction and Overview of the Interlibrary Loan (ILL) service.

How are requests submitted?

Requests are submitted electronically through the ILLiad system. The ILLiad system enables current SUNY Oneonta students, faculty, and staff to borrow materials from other libraries.  First-time users will be asked to complete their registration information. WorldCat (a good method of finding items in other libraries) search results have a “Request via Interlibrary Loan” link. This link will provide an ILLiad account log-in and auto-populate the request form.      

Once logged into your ILLiad account using your Oneonta username and password, you will be able to:

  • Make online requests for books, periodical articles, and other material from other libraries
  • Review the status of your requests
  • Download recently arrived articles
  • Check due dates of outstanding loans and ask for renewals

If you do not have enough information to fill in the ILLiad request form, please contact a Reference Librarian.  Please do not submit incomplete requests. Required ILLiad fields are indicated on the request forms. Provide the full titles of journals; do not use abbreviations. Include your source of reference: In what database, book, index, article, or from what person did you find out about the book or article that you are requesting? With a source of reference the ILL staff can verify the citation if the information is unclear or incomplete.

How long does it take?

A request could take less than a day to fill, or it could take several weeks.  The amount of time varies depending on the accuracy of the citation provided on the original request, the type and availability of the material requested, and the location and shipping method of the lending library.  By allowing at least one week (and preferably two weeks), patrons increase their chances of receiving requested materials.

Patrons receive an email message when a requested item arrives and can pick up items at the Circulation Desk whenever the library is open.  Articles are delivered electronically to the individual’s ILLiad account.

Renewals

Unless otherwise stated on the book band, one renewal request can be submitted to the lending library.  IF a renewal is granted, the length of the extension is set by the lending library.  Overdue materials are subject to fines.  Renewals can be requested through the ILLiad account or by contacting the ILL Office.

To request a renewal through ILLiad:

  • Log into your ILLiad account
  • Select "Checked Out Items" from the side menu
  • Click the transaction number beside the item to renew
  • Click the red "Renew Request" link at the top of the page. This will transmit your renewal request to the IDS staff who will then contact the lending library

You should keep the item requested for renewal in your possession until you learn of the new due date OR you are asked to return the item by the staff of the ILL Office because it cannot be renewed.  If the item cannot be renewed, you will have 24 hours to return the item to the library or fines may be assessed.  Items that are overdue may not be renewed.  Journal articles that are scanned copies do not have a due date and are yours to keep.
